Worley is providing engineering services for bp, helping to grow renewable fuels in Australia through the Kwinana Renewable Fuels project. This project is one of bp’s five global biofuel projects, repurposing a former oil refinery into an energy hub producing sustainable aviation fuel (SAF) and Hydrogenated Vegetable Oil (HVO), also known as renewable diesel. As a Principal Document Controller you will be responsible for managing Document Control function on large/complex projects and portfolios and act as the primary interface between project personnel and client for any document control issues.  Role may also have system specialisation function.  Ensure that all project documentation is accurately logged, managed and issued via the Electronic Document Management System.  It is imperative that each project has an accurate database containing each revision of all documents/drawings issued on a project and capturing all necessary meta-data for each record including every document that is issued to each Company throughout the life of the project. The role responsibilities include: Able to set up and start new projects, aligned with Worley way of working and Customer requirements. Ability to work autonomously. Pro-active, goal and results focused with excellent attention to detail. Able to work on multiple projects of various sizes and complexity. Act as the primary focal point for the project team, Customer and Third Parties. Create, maintain and implement project plans, procedures and work instructions for Document Control team in home office and GID. Establish and maintain project document matrices. Manage the assignment of work, tasks and responsibilities to others. Allocate and priorities Document Control activities and workload of Document Control team to ensure project requirements are met.  Train, supervise and mentor team members in home office and GID. Ensure all team members are utilised to their full capacity and maintain a resource plan aligned with project schedule. Superior timekeeping and prioritisation skills as well as highly developed organisational skills. Liaise with Functional Manager regarding forward planning of leave management and general staffing level across project phases. Able to People Manage and resolve any issues / concerns within the Document Control team. Establish, create, and meet document reporting requirements for the project. Assist Functional Manager with staffing development and training to manage to promotion within the team. Attend Customer / Supplier / Project meetings as required. Provide advice to the project on ways to work smarter and more efficiently. Promote good work practices within the Document Control team and on the project. Deal with new concepts and complexities comfortably. Examine problems carefully and thoroughly and understand their interdependencies. Can pull information and ideas from many sources and see the importance of many factors. What you’ll have Tertiary School graduate or equivalent, with relevant experience in an area of specialisation. Extensive years of relevant experience in an engineering / construction office.  Undertaking or completed a recognised or relevant tertiary qualification such as Diploma in Information Management, Diploma in Information Systems. Advanced working knowledge of EDMS, Document Control processes and procedures in an engineering or construction environment, including demonstrated experience coordinating all Document Control activities on a project / portfolio or within an organisation. Experience managing teams and people. Extensive document control experience on large / complex projects, supervising others.  Demonstrate a visible and active commitment to personal well-being, healthy and safe work places and activities, and continuously improve Worley’s health, safety and environmental performance. Understand Worley core Values and promote this within the Document Control team.  Understand the process of Document Control on projects from start to finish, including all project phases. Understand how projects deliver value to stakeholders and what drives value. Able to work autonomously with personal managerial skills. Highly developed organisational, attention to detail and coordination skills. Able to make difficult decisions and manage others in changing project conditions. Able to work on multiple projects of various size and complexity and oversee work distribution, assignment and completion of tasks within home office and GID office. Able to guide and direct projects with all Document Control related activities, including system, tools and processes. Achieves results set by self and others, meets timelines, pushes self and others to achieve stretch goals and demonstrates enthusiasm, persistence, resilience and tenacity. Breaks down work into executable tasks for team. Excellent management skills including the ability to plan, set goals and manage time, priorities, resources, accountabilities, schedule and cost. Seasoned ability to inform and persuade on complex matters comes from recognition as subject matter expert.  Utilized on the most complex, confidential and difficult problems.  Builds appropriate, constructive, and effective business relationships throughout the organisation; uses diplomacy and tact; is approachable; communicates clearly, accurately, and consistently both verbally and in written matters.  Employs the principles of active listening and encourages feedback from others. Excellent verbal and written communications skills, including the ability to convey information and ideas to others and groups, and make presentations when required.
