Our Role The Administration Assistant is responsible for the management of site administration in line with Graymont’s systems and policies, supporting the site leadership team and completing other general administration duties. We are recruiting an Administration Assistant for our Braeside Laboratory and Office Space, and support for our Tenements Manager. This position will report to the Laboratory Manager. This role is responsible for on-site general administration activities. This is a part time 12 months fixed term contract. Work schedule is typically 24 hours per week Tuesday, Wednesday, and Thursday or can be flexible for the right individual. Key focus areas the role will include: Help ensure visitors and contractors comply with site HSE requirements. Coordinates contractor visits and ensures proper induction to site for contractors/visitors. Assist laboratory team with setting up new suppliers and generating purchasing requisitions. Works with accounts payable to action overdue orders/accounts and incorrectly/incompletely coded requisitions and orders. Send and receive post (couriers), order stationery and office supplies. Assist with the document control of site including archiving of records under the direction of the Lab Manager. Perform other duties as required by the Lab Manager and support the lab team with ad hoc tasks within competency. Maintain lab water treatment system and records for compliance. Ideally, the successful candidate will have the following attributes and qualifications: As the successful candidate, you can work safely and efficiently with intermittent guidance on new tasks. You have effective interpersonal and written communication skills and high level of attention to detail. You are well-rounded in using Microsoft office suite. You have the ability to manage internal and external stakeholders and can work autonomously. You must have the right to live and work in Australia as this is an inherent requirement of the role.
